Camp Easy Ride
Reservation Terms & Conditions
Thank you for choosing Camp Easy Ride. By submitting and accepting a reservation, the reservation holder agrees to the following Terms & Conditions.
Reservation Hold & Payment
A $50 reservation hold per individual tent is required to secure your requested rental dates. No reservation will be considered confirmed or held until the reservation hold has been successfully processed.
The remaining reservation balance is due 45 days prior to the scheduled reservation date. Unless other arrangements have been approved, the remaining balance will be automatically charged to the payment method on file at that time.
Failure to pay any invoice or outstanding balance by its due date may result in cancellation of the reservation and forfeiture of monies previously paid, subject to the cancellation terms below.
Damages, Missing Items & Financial Responsibility
By accepting this reservation, the reservation holder agrees to be financially responsible for any damage to or loss of Camp Easy Ride property caused by the reservation holder, members of their party, authorized guests, or other individuals associated with their reservation during the rental period.
Reasonable charges for damaged, lost, or missing property may be collected using the credit card or other payment method on file.
Failure to reimburse Camp Easy Ride for verified damages or missing property may result in collection efforts or legal action, including small claims proceedings when applicable. Any such legal proceedings shall be handled in Manatee County, Florida, unless otherwise required by law.
Liability & Personal Property
By accepting this reservation, the reservation holder agrees, to the fullest extent permitted by law, not to hold Camp Easy Ride, its owners, hosts, employees, contractors, staff, affiliates, or the event venue responsible for loss, theft, or damage involving personal property brought onto the campground, compound, or event venue.
This includes, but is not limited to, personal belongings left inside or around lodging accommodations and motorcycles, vehicles, trailers, or other property parked within the Camp Easy Ride compound or event venue.
Guests are responsible for securing and protecting their own belongings at all times.
Cancellation Policy
Discounts & Promotional/Voucher Payments:
Payments made using promotional discounts, previously issued vouchers, or complimentary credits are non-refundable and are not eligible for reissue unless specifically stated otherwise by Camp Easy Ride.
Cancellation within 24 hours of making the reservation:
The reservation holder is eligible for a full refund to the original payment method.
Cancellation more than 14 days prior to the event:
Payments made toward the reservation will be issued as a voucher/credit toward a future Camp Easy Ride event and must be used within one year of the original event date, unless otherwise stated.
Cancellation within 14 days of the event:
No refunds or reservation credits will be issued. However, the reservation may be transferred to another individual up to 48 hours prior to the scheduled event, subject to Camp Easy Ride approval and availability.
Venue Cancellation:
If the event venue cancels the event for any reason, at any time, eligible payments made toward the affected reservation will be converted into a Camp Easy Ride voucher for use toward a future event. Venue-cancellation vouchers will have no expiration date.
Force Majeure / Extreme Weather & Uncontrollable Events
Camp Easy Ride operates temporary outdoor lodging accommodations and may occasionally be affected by circumstances outside of its reasonable control.
A Force Majeure Event may include, but is not limited to, hurricanes, tropical storms, tornadoes, flooding, severe thunderstorms, lightning, high winds, extreme heat or cold, wildfire, mandatory evacuations, government orders, public emergencies, acts of God, venue closures, utility failures, civil disturbances, transportation disruptions, or other conditions that make continued operation unsafe, impractical, or impossible.
The safety of guests, staff, and equipment will take priority during any such event.
If a Force Majeure Event requires Camp Easy Ride to suspend lodging operations due to safety concerns or Equipment damages after a guest's stay has begun, the guest will receive a prorated Camp Easy Ride voucher based on the unused lodging days remaining on the reservation.
For example, if a four-night reservation is interrupted after two completed nights because Camp Easy Ride is required to suspend operations due to extreme weather, the unused two nights will be calculated and issued as a future lodging credit.
Force Majeure vouchers:
- Are calculated based upon the unused portion of the affected Camp Easy Ride lodging reservation.
- May be applied toward any future Camp Easy Ride event within one year of issue date. subject to availability.
- Voucher DOES expire.
- Have no cash value and are not redeemable for a monetary refund.
- May be applied only toward eligible Camp Easy Ride services unless otherwise approved.
If an event or Camp Easy Ride operation must be cancelled before the reservation begins because of a qualifying Force Majeure Event, eligible amounts paid will be converted into a future Camp Easy Ride voucher with no expiration date.
Camp Easy Ride is not responsible for reimbursement of event venue admission, rally passes, transportation, airfare, fuel, food, lost wages, motorcycle expenses, hotel accommodations, or other third-party expenses resulting from a Force Majeure Event.
Animal Policy
Animals of any kind are generally not permitted within the Camp Easy Ride compound, as Camp Easy Ride's temporary lodging equipment and compound are not designed or equipped to safely accommodate animals.
Animal accommodations may be available elsewhere within the event venue; however, any such accommodations must be arranged directly with the venue prior to arrival.
Guests arriving with an unauthorized animal may be denied check-in and may forfeit their reservation.
Legitimate service animals, as recognized and protected by applicable law, are permitted. Guests accompanied by a service animal are responsible for maintaining control of the animal and ensuring that it does not create an unsafe or disruptive condition.
Excessive or uncontrolled noise, aggressive or destructive behavior, failure to maintain control of the animal, or failure to properly dispose of animal waste may result in removal from the Camp Easy Ride compound when permitted by applicable law.
Venue Fees
Camp Easy Ride lodging rates DO NOT include event venue admission fees, camping fees, wristbands, parking fees, motorcycle fees, or other charges assessed directly by the event venue, unless specifically stated in the reservation.
All required venue fees must be paid directly to the event venue prior to entering the venue or Camp Easy Ride compound.
Acceptance of Terms
By accepting and/or submitting payment toward this reservation, the reservation holder acknowledges that they have read, understand, and agree to:
- These Camp Easy Ride Reservation Terms & Conditions;
- The Camp Easy Ride Cancellation Policy;
- The Camp Easy Ride Animal Policy;
- The Force Majeure / Extreme Weather Policy; and
- The applicable Frequently Asked Questions (FAQs) provided through or linked within the booking source.
The reservation holder further acknowledges that Camp Easy Ride lodging fees are separate from any admission, camping, parking, wristband, or other fees charged by the event venue.
